PRELIMINARY SCREENING OF PROPOSALS:
The team members will meet in person to pre-screen proposals for feasibility, completeness, and initial thoughts on the proposals benefits and concerns. The successful proposals will make it on to scoring. If a member of the Marketing and Event Executive Team submits a proposal they will be exempt from the scoring process.
SCORING:
Once preliminary screening is complete the remaining proposals will be scored based on the following:
Step 1: Objective Scoring (Maximum: 12 Points per Executive Team Member)
Each Executive Team Member will assign a score based on the following criteria (a full breakdown of the rubric can be found here):
Artistic Merit- 4 Points
Impact- 4 Points
Preliminary Planning- 4 points
Step 2: Subjective Prioritization
After scoring, each team member will independently review all applications and rank them based on subjective merit. This step ensures that applications with unique or high-impact potential are given appropriate consideration beyond just numerical scores.
Step 3: Score Calculation
Each team members objective score (out of 12) and subjective ranking-based prioritization are combined to determine the final score. The final score for each applicant is calculated using the following formula:
Step 4: Selection
Once the scores are calculated and compiled, it will serve as the priority ranking in the next process. Proposals will be funded in order of rank until the funding for the cycle is allocated. The executive team will announce the results to the faculty. Proposals will remain active for two years or until the team decides to remove the proposal.
Post Review & Selection Process:
Once the review and scoring process is complete, the Events Coordinator will work with the faculty applicant and relevant personnel to contact the artist, solidify the event details, and contract negotiations. During this time complications may occur such as: inability to contact artist, practicality becomes an issue, contract negotiations fall through, or the cost becomes too high for the event to happen. In the event this happens, the faculty applicant will be informed in case they can help. If not, the Events Coordinator will proceed with the next approved proposal on the list that can be afforded within the remaining cycle's funds.
